Digital menu vs PDF: which is right for your restaurant

Restaurant owners in Costa Rica know how hard it is to capture a guest’s attention in a crowded market. The first point of contact is often the menu. If that contact is a tiny PDF that opens after scanning a QR code, the experience feels clunky and the guest ends up ordering the same old dishes.

The problem: a PDF that doesn’t work

Imagine a small soda (café) in downtown San José. You upload a PDF menu and place a QR code on each table. A curious guest scans the code, only to see a miniature document with text so small they have to zoom in repeatedly. Their first thought is, “What a hassle!”

At that moment the guest is already thinking about leaving or, at the very least, ordering something familiar because they don’t want to waste time navigating an uncomfortable menu. The result is limited sales, slower table turnover, and a perception that the restaurant is outdated.

Why it happens: the “PDF is enough” mindset

Many owners assume that simply uploading a PDF to Google Drive or their website solves the problem. That belief rests on three misconceptions:

  1. PDF works everywhere – it does open on most devices, but the reading experience is not optimized for small screens.
  2. It costs nothing – creating and uploading the file is free, yet the hidden cost is lost interaction and missed upsell opportunities.
  3. Customers will use it anyway – smartphone users expect fast, visual, and touch-friendly interfaces.

When a menu is not built for the way people consume information today, the business suffers without the owner noticing right away.

How to fix it: simple steps to move from PDF to a digital menu

1. Redesign for mobile screens

  • Choose legible fonts and generous line spacing.
  • Highlight high-quality photos of each dish.
  • Group items into clear blocks (starters, mains, desserts).

2. Add interactivity

  • Let guests tap a photo to see a short description or a quick video.
  • Include buttons like “add to order” or “view ingredients” to speed decision-making.

3. Speed up loading

  • Compress images without losing quality.
  • Host the menu on a fast server or a dedicated hosting service.

4. Measure and adjust

  • Track how often each section of the menu is opened.
  • Spot dishes that receive few clicks and consider better placement or richer visuals.

5. Train your staff

  • Teach the team to invite guests to scan the QR code and explain the digital menu’s benefits in a sentence.
  • Use the menu as a sales tool: a server can point out an attractive photo and the guest can open it instantly.

Everyday example

Suppose a soda in the Escazú neighborhood decides to modernize its menu. The old PDF had twelve pages, and guests spent several minutes hunting for the breakfast section. After switching to a digital menu, the soda reorganizes content into three tabs: “Breakfast”, “Lunch”, and “Drinks”. Each dish shows a photo, a brief description, and a “see more” button that shows the ingredients and which drink goes well with it. A guest scans the QR, sees the menu in seconds, and, drawn in by the photo of the chifrijo, orders it without a second thought. Guests decide faster, and dishes that used to be buried on the last page of the PDF finally get seen.
